Updated Policy Clarifications:
We have added additional clarifications to help patients better understand when the refill processing fee applies, including exceptions related to Medicaid coverage, upcoming appointments, and Spravato treatment scheduling.

Hello to our Tulsa Family Psychiatry and Wellness Family,

As we celebrate five years of serving our patients, we want to take a moment to thank you for your continued trust and support. For those of you who have been with us since the beginning, you’ve witnessed the growth of our family-owned and operated practice, and we are proud to serve you.

With growth often comes the need for change to ensure healthy and efficient business operations. One area we have identified for improvement is how prescription refills are managed between appointments.

Why This Change?

We process a large volume of refill requests daily, requiring collaboration among patients, staff, providers, and pharmacies. This adjustment helps us maintain efficiency and deliver timely prescription management without requiring additional office visits.

To better support this process, beginning January 1, 2025, Tulsa Family Psychiatry & Wellness will implement a $5 processing fee for prescription refills requested between appointments. This change represents both a time and cost savings for you as compared to scheduling an extra visit.

Important Updates to the Prescription Refill Process

When the $5 fee Applies

The fee will apply to all prescription refill requests made between appointments for: 

  • Commercially insured patients
  • Patients with commercial primary insurance and Medicaid secondary insurance
  • Self-pay patients
  • Patients without a scheduled follow-up appointment within 7 days of the refill request

When the Fee Does Not Apply

The refill processing fee will not apply in the following situations:

  • You have a scheduled follow-up appointment within 7 days
  • You are a Spravato patient with a scheduled Spravato treatment appointment within 7 days
  • Your provider recommends an unexpected medication change due to side effects or an adverse reaction
  • A prescription must be resent due to pharmacy stock or availability issues
  • You have Medicaid as your primary insurance coverage
Special considerations for Schedule II medications:

Many ADHD medications (classified as Schedule II controlled substances) require new prescriptions monthly by law. Patients taking these medications may need two prescriptions per month; however, the processing fee will remain a flat $5 per month per person, regardless of the number of prescriptions.

We encourage patients to schedule follow-up appointments as recommended by their provider to avoid running out of medication.
